CONFERENCE VENUE AND DATES
The 2002 Conference will be held at the Champagne Sports Resort (http://www.champagnesportsresort.com)
in the Drakensberg from the 28th February to the 3rd of March 2002. The North West Branch will be hosting the conference and promise an exciting and stimulating conference. Whether you wish to present or not, we would encourage all SAAHIP members to attend.
CALL FOR PAPERS
We invite you to submit your proposal(s) for the 45th Annual General Meeting and the 16th Conference of SAAHIP to be held from the 28th February to the 3rd of March 2002. The deadline for receipt of all submissions is 26 October 2002.
PRESENTATION CATEGORIES
Authors may choose from the following categories. Please review the following information to determine the most appropriate format for your presentation.
1. POSTER PRESENTATIONS
These provide authors with 3 days display and an informal opportunity to discuss their work with other attendees during scheduled poster session/s. Poster presentations will be considered in the following three broad categories:
2. PODIUM PRESENTATIONS
Podium presentations are designed to convey ideas about new pharmacy roles and services, resolving administrative problems and research updates. It includes both evaluative and descriptive studies. These presentations should be around 10 minutes long to allow for some question time, and be concise with conclusive results.
3. PEARL PRESENTATIONS
This is a presentation with a difference. As with the pearl, it is something that is rare, precious and not widely known. The presentation should thus convey quick and useful points that may not be widely known, published or taught. The ideas can be from any practice setting i.e. administrative, managed care, expanding the role of the pharmacy assistant, clinical etc. It is a short presentation of 5 minutes with no question time. A title and an abstract are required to be submitted for the selection process, but only the title will be published in the conference program so as to preserve the flavour of the pearl presentation!
4. SMALL GROUP / PANEL DISCUSSIONS
These group discussions can be conducted in parallel sessions in order to meet the diverse nature of practice backgrounds found within the conference delegates. Experts will be invited to attend and speak, and attendees are encouraged to participate fully in these sessions. Any topics or suggestions for this type of discussion will be most welcome.
INSTRUCTIONS FOR PREPARING POSTER AND PODIUM PRESENTATIONS
1. INFORMATION FOR AUTHORS
Authorship of papers:
Duplicate abstracts on the same topic from one author or one institution will not be accepted. Once a paper has been submitted to SAAHIP and accepted, changes cannot be made to the title or the author(s). The presenting author must be a paid up member of SAAHIP
Review process:
The authors must state whether they wish their presentation to be considered as a poster or a podium presentation. The academic committee may contact authors if a change in presentation format needs to be considered. Authors are asked to co-operate with the academic committee in this regard to ensure that a wide range of appropriate topics is covered in all the presentation areas. Changes in presentation, acceptance or rejection will be communicated to the authors in writing, either by the academic committee or via the National Executive Committee of SAAHIP by 10th December 2001. If a submission is accepted, it will be assumed that the author will be present at conference to present their work.
Publication rights:
SAAHIP retains first publication right to all original papers (abstracts only) presented at the conference. SAAHIP will publish all abstracts in FORUM in the South African Pharmaceutical Journal in the year following conference. Final abstracts for publication can be submitted at conference. If no abstract is submitted the original copy will be published, regardless of any changes made.
HHD (Home and Hospital Dispensaries) Award:
Presentations will be considered for this award only if:
- The presenter is a paid up member of SAAHIP
- The presenter is neither an academic nor a joint academic hospital employee
- The presenter was not awarded this award in the previous year.
2. PRESENTATION OF ABSTRACTS
Abstract format:
· Each abstract must be submitted with the following details:
- Whether it is for a poster/podium or PEARL presentation
- Name and address of presenter
- Telephone (daytime contact number) and fax numbers
- SAAHIP membership number
- E-mail address where possible
· Please DO NOT enclose abstract in a rectangle
· Abstracts not submitted in an electronic format will need to be re-typed
· Typing must be of a high quality, using arial font 12. If possible, use a laser printer. Send only originals, and not copies. Use cardboard backing to avoid damage.
· Use standard abbreviations. Do not include graphs, tables or illustrations in the abstract.
· Proofread abstracts carefully, particularly doses, numerical values and drug names.
· SAAHIP will not correct abstracts.
· The abstract must not exceed 250 words.
Instructions for preparing abstracts:
TITLE
State the title in capitals. Use short, specific titles. Try to avoid the use of "A", "An" or "The" as the first word of the title.
PRIMARY AUTHORS/ADDRESS
List the authors in lower case. List up to a maximum of 4 authors. Type the author's last name first, followed by the initials. Do NOT include titles or degrees. Underline the presenting author's name and state the site at which the project was conducted.
Authorship is reserved for those who were primarily responsible for the content of the project or for those who made a substantial scientific or professional contribution to the project. Substantial contribution may include: a) conception or design or analysis and interpretation of data, or both, and b) drafting by paper summary. Participation solely in the collection of data does not qualify for authorship. Once a paper has been submitted to SAAHIP, changes cannot be made to the paper, title or author.
For research abstracts, organise the abstracts as follows:
- One sentence of the study's specific purpose
- Brief statement of the methods used
- A summary of results obtained
- A statement as to the conclusions
- Three to five learning objectives
For non-research abstracts, organise the abstract as follows:
- One sentence statement of the objective of the case report
- Brief description of the concept (be it role, service, initial problem or situation)
- The results, and an evaluation of these in terms of the original problem or situation.
SUBMISSION OF ABSTRACT
Authors should submit their abstracts as Word documents, or send their abstracts via the post.
